How do I manage kiosk operators, supervisors and refunds?
The Kiosk settings allow you to manage operator access, control ticket sales, enable SMS ticket delivery and process eligible refunds for your event.
Setting up kiosk operators
Each operator has a unique six-digit passcode that they enter on the kiosk to sign in to the selected event. Operators do not need to enter an email address or password.
Use Print labels to print passcode labels for each operator and supervisor using a Brother QL-810W label printer with 62 mm labels. If you refresh a passcode, you will need to print a new label.
You can also:
Enable or disable operators: Untick Enabled to prevent an operator from accessing the event without deleting their account.
Restrict ticket categories: Select the categories an operator can sell. Selecting individual categories restricts their sales to those categories and all ticket types within them. If all categories or none are selected, the operator can sell everything.
Enable SMS tickets: Tick Can SMS tickets on the operator's card and allow SMS ticket delivery for the event. Each SMS uses one SMS credit, so the option is unavailable if you have no credits. The SMS Tickets button will only appear on the kiosk for eligible operators.
Setting up supervisors
Supervisors approve kiosk refunds using their own supervisor PIN. You can assign an existing operator as a supervisor using Make supervisor, or select Add supervisor under Supervisors to add someone who only approves refunds.
Supervisors who do not have an operator account cannot sign in to the kiosk. There is no limit to the number of supervisors you can assign.
Each supervisor PIN is separate from their login passcode. You can refresh a PIN using the refresh icon. Make sure the supervisor's name is entered correctly, as it appears on the office copy of the refund receipt under Approved by.
Processing kiosk refunds
To process a refund, select the refund button in the kiosk's top bar and search for the booking using its Booking ID. Only Box Office and Kiosk bookings for the selected event can be refunded through the kiosk. Refunds must be processed in full before the event ends.
Card payments: The full amount is refunded to the original card through Stripe, and the booking is marked as refunded.
Cash payments: The booking is deleted and the cash is returned to the customer. The amount is removed from the cash takings.
In both cases, the tickets are checked out, their scan count resets to zero, and they can no longer be used for entry. The tickets are also returned to sale.
Two receipts are printed: a customer copy and an office copy, which must be signed by the customer and supervisor.
Important: Online bookings and refunds requested after the event ends must be handled through the admin system rather than the kiosk.
